Inventory Sync: Update listing quantities automatically

This article will detail and explain how to use Inventory Sync to automatically update your listing quantities across your various sales channels.

Inventory sync is one of the most powerful features in Sellbrite. Once enabled, Sellbrite will update your linked listings every 15 minutes with the available quantities from your inventory.

How Inventory Sync Works

Inventory sync begins with your Inventory & Listings in Sellbrite.  Your listings must be linked to inventory, so that as available quantities in your inventory change, Sellbrite knows which listings to update with the new quantity.

As orders are then placed for your listings on a sales channel, Sellbrite will import the orders and automatically adjust the available quantity for the SKUs ordered.

The link between your listings and inventory allows Sellbrite to know which inventory quantity should be adjusted. As a fail safe in the case of a listing not being linked to inventory, Sellbrite will also try and find a SKU in your inventory that matches the SKU of the item ordered, in order to preserve accurate quantities within your inventory.

Now that you have an understanding of how Inventory Sync works, let's begin the process of enabling Inventory Sync.


Step 1: Confirm Inventory

You are about to let Sellbrite actively manage quantities across your sales channels. In order to start off on the right foot, you'll first need to make sure your inventory quantities are correct in Sellbrite.

The goal here is to confirm that the inventory imported and built from your sales channels and/or from the product CSV is accurate, before we update your sales channels with these quantities. To do this, go to Inventory > Inventory Manager from the top navigation and then open the Bulk Editor.



Here, you will see all of your inventory items along with the quantity you have available for each SKU. This is where you will add and adjust your inventory quantities from now on. Show me more.

For products with variations, you will only see the child SKUs on this page, since parent products do not have inventory quantities. All of your inventory items will be listed individually by SKU and by Warehouse Location, so if your SKUs are located in multiple warehouse locations, you will see a SKU listed multiple times in the Inventory Manager's Bulk Editor. You can also filter the Bulk Editor on the left hand side of the page.

Confirm your On Hand inventory quantities are accurate and make any quantity updates necessary for your inventory. Once you've confirmed your inventory, you can next begin setting Inventory Rules per sales channel.


Step 2: Setting Inventory Rules

Inventory rules are a way to limit how much of your stock is visible on each sales channel. Using inventory rules is a powerful way to get a competitive advantage.

To set your inventory rules, go to Settings Sales Channels Integrations > Edit for the desired sales channel you wish to apply inventory rules.

Inventory rules are calculated from the "Available" quantities you have to sell. Each channel allows you to set 3 kinds of inventory rules:

Percentage of Available

The percentage of available inventory rule let's you, literally, send only a percentage of your available quantities to that channel. This is a great option for merchants who like to keep some units in reserve for offline orders.

The rule works by rounding down to the nearest whole number. For example, if you have a rule of 90%, and you only have 1 unit remaining, Sellbrite will update your listing to 0 (rounded down from 0.9).

If you have a rule of 40%, and you have 2 units remaining, Sellbrite will again update your listing to 0 (40% of 2 is 0.8).


The maximum quantity rule is very powerful. Setting a maximum quantity means that no matter how many units you have in stock, Sellbrite will show a maximum of X units on your listings for this channel. In the example below, your listings would show 2 units, even if you had 10 units in stock.

Once you dip below your maximum, your actual available quantity will show. So if you have a maximum rule of 5, and you have 3 units available, your listings will show 3 units.

The maximum quantity rule is a great way to show scarcity on your listings, hide how many you truly have from other sellers, and circumvent selling limits imposed by some channels, like eBay.


The minimum quantity rule has a very specific application. Setting a minimum quantity means that no matter how few you have, Sellbrite will show a minimum of X units.

This means that if your available quantity goes to 0, but you have a minimum quantity rule of 1, Sellbrite will keep your listing at 1. You ONLY want to use this setting if your products never run out of stock.

Set any inventory rules you need for your sales channels. Once your rules are set, it's time to enable Inventory Sync!


Step 3: Enabling Inventory Sync

Now that your inventory has been confirmed, your listings have been linked to inventory and your inventory rules have been set, it's time to turn Inventory Sync ON!

Navigate to the Channel Settings page for each of the channels you wish to enable Inventory Sync, then Click toggle Inventory Sync ON.

Read and review the Inventory Sync information modal, and Enable when you're ready to let Sellbrite automatically update your listings on the channel with inventory quantities.

Once enabled, your settings will Automatically Save.
