Sellbrite tracks your inventory using three quantity types: On Hand, Reserved, and Available. Understanding how they relate to each other helps you know exactly what's in your warehouse, what's spoken for, and what's still open to sell.
On Hand
On Hand is the physical quantity of a product sitting in your warehouse, whether or not it's already been ordered.
Example: You have 20 units of a product in your warehouse. Your On Hand quantity is 20.
Note: You can manually adjust On Hand quantities for your merchant warehouse locations, but not for Fulfillment by Amazon (FBA) warehouses.
Reserved
Reserved refers to units that have been ordered but haven't shipped yet. They're still physically in your warehouse, but they're set aside so they don't get sold again.
Here's how it moves through the process:
When an order comes into Sellbrite, the ordered quantity shifts from Available to Reserved.
When the order ships, that quantity is deducted from On Hand, and Reserved drops back to 0 for that order.
If the order is canceled instead, the quantity returns to both Available and On Hand.
Example: You have 20 units On Hand and receive an order for 5. Those 5 units become Reserved, so your numbers look like this:
On Hand: 20 (still physically in your warehouse)
Reserved: 5
Available: 15
Once you ship those 5 units, On Hand drops to 15, and Reserved goes back to 0.
Available
Available is the quantity customers can actually purchase. Sellbrite calculates it as:
On Hand − Reserved = Available
This is the quantity Sellbrite syncs with your sales channels to prevent overselling.
Example: With 20 On Hand and 5 Reserved, your Available quantity is 15. After you ship the reserved order, Available updates to match On Hand again, assuming no new orders come in.
Quick reference
Quantity Type | What It Means |
On Hand | Physical stock in your warehouse |
Reserved | Ordered, but not yet shipped |
Available | What customers can still buy (On Hand − Reserved) |
